During consultations
A prospective client calls while the practitioner is with another client. The call is missed, and the caller does not leave enough information to make follow-up easy.

VulaPhumelela helps law firms, accounting practices, tax practitioners and financial advisory firms in Johannesburg capture and triage incoming enquiries with a practical AI voice agent.
When your team is in a consultation, handling a client matter, working after hours or simply unable to pick up, the caller still receives a clear first response. The agent asks agreed administrative questions, captures the caller's details and sends your team a structured summary by WhatsApp or email.
Administrative intake only. No legal, tax or financial advice. Your team remains responsible for professional advice and follow-up.
Built for practical implementation, not vague AI transformation.

The problem
Professional firms receive enquiries when the team is busy, in meetings, with clients or outside normal working hours. A caller may not leave a message, may call another firm, or may not know what information to provide. The problem is not that your team does not care. The problem is that a busy professional-services environment cannot always answer every call immediately.
The voice agent is designed to support the first administrative step — not to practise law, provide tax advice or make professional decisions.
Where it happens
A prospective client calls while the practitioner is with another client. The call is missed, and the caller does not leave enough information to make follow-up easy.
Someone searches for help in the evening or over a weekend. The firm is closed, but the caller still needs to explain what they are looking for.
Multiple calls arrive while the receptionist is assisting clients, transferring calls or handling office administration.
A caller may mention a deadline, a legal matter, a tax filing concern or another time-sensitive issue. The firm needs a way to identify and escalate that enquiry without the AI giving professional advice.
The agent creates a structured first record so your team can decide what happens next.
How it works
The AI voice agent answers using a professional, firm-specific greeting.
The agent asks agreed administrative questions: what the enquiry is about, whether the caller is new or existing, their name and contact details, and whether there is a stated deadline or time-sensitive concern.
The system categorises the call according to rules agreed with the firm: new enquiry, existing-client request, document or appointment request, general administrative question, or potentially urgent matter requiring human review.
The summary is sent to an agreed destination — WhatsApp or email — with the caller's details, the reason for the call, any stated urgency, and the suggested next step. The firm decides who follows up.
The agent handles the intake. Your qualified team handles the advice.
Demonstration
This demonstration shows how the agent answers a new enquiry, asks basic administrative questions and prepares a summary for human follow-up. It is a demonstration of the workflow — not legal, tax or financial advice.
Demo coming shortly — a short recording of the agent handling a sample professional-services enquiry will appear here. In the meantime, request a live walkthrough via WhatsApp or the form below.

Safeguards
The safest starting point is administrative intake. The agent collects the information your firm needs before a qualified person reviews the enquiry. It is not a professional adviser and is not a substitute for your team.
By practice type
The agent can be configured to ask whether the caller is a new or existing client, the broad type of matter, whether there is a stated deadline, the caller's preferred contact details, and whether documents or a consultation may be involved.
Boundary. The agent does not assess the legal merits of a matter, provide legal advice, interpret documents or promise representation. It records information for review by the firm.
Example scenarios
The agent can be configured to ask whether the caller is an existing or prospective client, what broad service they are asking about, whether the enquiry relates to an upcoming deadline, how the firm should contact them, and whether documents or a consultation may be required.
Boundary. The agent does not calculate tax, interpret financial information, give accounting advice or confirm that a filing, return or application will be accepted.

Implementation
We discuss what calls the firm typically receives, which calls are commonly missed, what staff currently ask callers, where summaries should be sent, what counts as urgent, and which matters must go immediately to a human.
We configure the greeting, firm language, intake questions, allowed responses, escalation rules, professional boundaries and summary format — all approved by the firm before testing.
We test common scenarios including new enquiries, existing clients, urgent-sounding matters, wrong numbers, and callers asking for advice. The firm reviews before launch.
After launch we review whether questions are useful, whether summaries reach the right person, whether callers understand the next step, and whether anything needs adjustment.
The first version is narrow and dependable. VulaPhumelela will not attempt to automate every conversation at once. The initial setup focuses on one agreed administrative intake process that the firm can review before it goes live.

Scope
Final scope, monthly usage allowance, third-party costs, message destinations, support expectations and ongoing monthly pricing will be confirmed in writing before payment is requested.
This is a founding-client implementation offer for a small number of Johannesburg professional firms. VulaPhumelela is beginning with a limited number of clients so each setup can be configured carefully and improved based on real use.
Questions
No. The initial use case is administrative intake. The agent captures basic information and helps route the enquiry. Your team remains responsible for human follow-up and professional advice.
No. It must not provide legal, tax, financial or other regulated professional advice. It collects agreed administrative information and explains that a qualified person will follow up.
The firm and VulaPhumelela agree on what should be treated as urgent and how it should be escalated. The agent captures the caller's stated urgency and sends the agreed summary to the nominated person or channel.
It can provide limited, firm-approved administrative information if that information is supplied and tested. It does not improvise or make professional recommendations.
They are sent to an agreed destination such as WhatsApp or email, subject to the final technical setup. The exact destination is confirmed before launch.
It can be configured to answer outside normal office hours if the phone and workflow setup support this. The firm defines the after-hours message and escalation process.
The greeting and disclosure wording are agreed with the firm before launch. How the system identifies itself to callers is decided together.
The timeline depends on access, approved questions, testing and telephony configuration. A realistic timeframe is provided after reviewing the firm's process.
It includes the agreed setup scope and first-month service described in the pricing section. Usage limits, third-party charges, revisions and ongoing pricing are confirmed in writing before payment.
Yes. The first workflow is based on the firm's actual intake process within the agreed scope.
No. It is designed to improve the consistency of first-response and enquiry capture. Business outcomes depend on the quality of enquiries, the firm's follow-up and many other factors.

About
VulaPhumelela was founded in Johannesburg to help local professional firms improve the way they handle valuable enquiries. The current focus is deliberately narrow: helping law firms, accounting practices, tax practitioners and financial advisory firms capture and organise incoming calls when their teams are unavailable.
The founder is 18 and completing matric while building the business. VulaPhumelela is not presenting itself as a large software company. It is building a focused service around a real operational problem and working directly with early clients to configure and improve the process.
